What an overseas buyer actually types into a search box

A procurement engineer in Stuttgart or Michigan does not start with the name of a company. They start with the part. They type a process, a material and a form: cold forged steel flanges, aluminium high pressure die castings, CNC turned brass fittings. At that point they have a drawing and an empty vendor list, not a preferred supplier.

Most factory websites in the are built the other way round. The home page leads with the year of incorporation, a photograph of the shed and a sentence about commitment to quality. None of that intersects with the search the buyer is running. The pages that get found are the ones that name the process, the material and the standard in the same phrase the buyer used.

There is a second layer to this. Buyers search in the vocabulary of their own bill of materials. A wiring harness buyer looks for crimp contacts and sealed connectors; a hydraulics buyer looks for spool valve bodies; a white goods buyer looks for deep drawn pressings. If your site calls all of that precision components, you are not in the search at all.

The vocabulary gap between a supplier and an overseas buyer

The gap is specific and mostly fixable. Domestic trade language and international procurement language have drifted apart in a few reliable places. Fabrication in India covers everything from sheet metal work to structural welding, while a European buyer expects sheet metal fabrication, laser cutting and welded assemblies as separate headings, because to them those are separate suppliers.

Casting is the clearest example. On its own the word tells a buyer nothing. Gravity die casting, high pressure die casting, investment casting and sand casting are four different conversations, four different tolerance expectations and four different shortlists. A page that says we do casting loses to a page that says high pressure die casting in aluminium ADC12, with part weights and machine tonnages listed underneath.

Material designations are the other half of it. An Indian factory quotes IS grades because that is what its steel supplier invoices. A German buyer works to EN and DIN, an American buyer to ASTM, SAE or AISI. If your material page lists only IS designations, a buyer searching an EN or ASTM designation has no route to you. The cross-reference your own purchase department already uses when it buys material is the cheapest content you will ever publish.

Units follow the same rule. Publish tolerances in millimetres, and in inches as well if you sell into the United States. Where you cut both metric and imperial threads, give both callouts rather than making the buyer convert.

HS codes, grades and standards belong in the page copy

An HS code is a search term, not only a shipping field. Buyers, freight forwarders and sourcing platforms all work in it, and a buyer who already knows the code for the part will sometimes search it directly. Putting the code beside the product family costs nothing, and it quietly signals that you have exported before.

Certification works the same way, but the stakes are higher. ISO 9001 is a baseline that no longer differentiates anyone. IATF 16949 is the qualifying question for an automotive buyer, AS9100 for aerospace, ISO 13485 for medical devices. Where you sell into the European Union, CE marking under the relevant directive matters, as do REACH and RoHS declarations on the materials you use.

Be exact about all of it. The phrase ISO certified reads as evasive because it hides the scope. Name the standard, the scope written on the certificate, the issuing body and the validity date, and attach the certificate itself as a PDF. Buyers ask for it in any case, and publishing it removes an email round trip and a day of waiting.

A marketplace listing is not the same as being findable

A listing on a large B2B marketplace puts you inside somebody else's search. It works up to a point, and buyers genuinely do use those platforms for first-pass shortlisting. But the enquiry that arrives is a shared enquiry. The same RFQ goes to a row of suppliers who look identical in a grid, and the only visible difference between them is price.

Direct findability behaves differently. A buyer searching a process and a standard lands on a page you control, reads your tolerance table, downloads your certificate and writes to you before a general RFQ exists. That enquiry is warmer and less price-led, because you have already answered half the qualification questions before anyone spoke to you.

The two are not in competition. Keep the marketplace listing; it is cheap traffic and it costs you little to maintain. Simply treat it as a source of commodity enquiries, and build your own pages for the enquiries you actually want.

What a buyer checks before sending an RFQ

Somebody at the buyer's end has to justify adding you to a vendor list. That check is short, predictable and almost always completed before any contact is made. It is worth knowing exactly what it consists of, because every item on it can be answered on a web page.

None of this requires you to publish anything commercially sensitive. It requires you to publish the things a buyer would otherwise have to extract from you over three emails and a week of time-zone lag, which is usually a week longer than they are willing to spend on an unproven supplier.

  • Certification: which standards, the scope on the certificate, the issuing body, and whether it is current
  • Process capability: the machines and processes actually in your plant, with sizes, envelopes and tonnages, not a generic list of verbs
  • Tolerances and quality control: what you routinely hold, what inspection equipment you own, and whether you can supply PPAP or a first article inspection report
  • Capacity: what a normal month looks like for that process, and what headroom exists above it
  • Lead time: sample lead time and production lead time, quoted separately
  • Export history: which regions you already ship to, and whether you handle the documentation yourself
  • Communication: who answers, in what language, and how quickly

Capability data beats capability claims

Vague claims fail quietly. Large production capacity and world class quality cannot be checked, so a procurement engineer reads past them without registering anything. A machine list can be checked: bed sizes, bar capacities, axis counts, press tonnages, furnace capacity. So can an inspection list, with a CMM named by make and measuring volume, hardness testers, gauges and a spectrometer if you have one.

Lead time deserves the same treatment. Quote a sample lead time and a production lead time separately, and say what each depends on: tooling, material availability, whether the drawing is frozen. A qualified lead time is more credible than a flat number, and overstating it creates a problem three months later that costs more than the enquiry was worth.

Where you genuinely cannot commit in public, which usually means price, exact capacity and customer names, say so and give a route to the answer. A capability statement behind a short form is a reasonable compromise. A page that says nothing at all is not.

What to fix first

If you can only do a few things, do these. Rewrite the product pages around the part rather than the company, using the process and material vocabulary that appears on your customers' purchase orders. Add material designation cross-references and HS codes. Put certification scope on a page of its own, with the certificates attached.

Then fix the response path. An enquiry from Europe that lands at six in the evening and is answered late the following morning has already lost a working day, and the buyer has already had two other replies. Decide who owns the first response, what it must contain, and how quickly it goes out. Working through an export readiness checklist alongside the website work will show you which of your gaps are content problems and which are operational ones.

None of this is a campaign. It is a set of corrections to the way the factory describes itself, made once and then maintained as the plant changes. If you are unsure how your pages read to a buyer who has never heard of your city, that is a short conversation, not a project.
